More about the Salesforce & Systems Manager position

The Salesforce and Systems Manager (SSM) will help advance the organization by ensuring our CRM database and integrated systems are used and leveraged to support our staff, build relationships, engage our partners, enhance communication, and accomplish our strategic goals. 

The SSM plays an important role for Resource Media in managing our Salesforce database, providing staff training, and developing data integrity procedures. Our Enterprise-edition Salesforce instance supports fundraising efforts and relationship management, project budget and expense tracking, and operational needs such as timesheet and PTO management, contract and invoice administration, and integrated software workflows. Our instance is configured with custom objects and field levels, along with integrations including NPSP, Resource Hero, and InterWeave Smart Solutions. The SSM also supports the organization’s fundraising and operations, assisting the Executive and Development Teams with data-driven decision-making related to business development, and assisting the Operations team by managing org-wide software and systems that integrate with Salesforce. 

Here are a some things you’ll be responsible for:

Salesforce Management

  • Serve as the primary Salesforce System Administrator and organizational point-of-contact for user support, communication with staff, and individual and group training.
  • Stay current on new Salesforce features, functionality, and third party integrations; providing recommendations and support for process improvements and enhancements.
  • Document and update processes, protocols, and best practices of operational procedures for database usage and related systems. 
  • Ensure data integrity by monitoring data integrations and collaborating with other team members to ensure consistent data entry protocols.
  • Ensure accurate tracking of development opportunities, scoping, time tracking, and other CRM functions
  • Track reporting deliverables and coordinate Salesforce alerts for contributors to ensure timely submission of all proposals and reports.
  • Engage with staff to gather insights, identify opportunities for improvement, and advocate for CRM-centric business practices.
  • Perform data analytics to include: maintaining regular reports along with creating new reports to sustain and build fundraising and capacity dashboards. 
  • Work with Development Director and external Salesforce consultant to triage issues, update automation, and handle user support requests.  

Operations Systems Support

  • Cross-functional knowledge and experience to ensure the availability, reliability, and optimization of all operational and functional aspects of internal and external platforms.
  • Oversee the functionality of current and planned Salesforce integrations, including, but not limited to, Google Suite, Outlook, Slack, Cazoomi (for MailChimp), Interweave (for Quickbooks), Asana and future integration tools, in collaboration with the Operations team.
  • File/Knowledge Systems administration, including maintaining official electronic grant and contract files in Salesforce and Google Suite.
  • Liaise with the finance team to ensure data integrity for monthly closes, audits, and other operations needs, and coordinate with Program and Development teams on quality control and consistency in project budgets and financial reports where needed.
  • Work in partnership with the external IT service provider to act as point of contact and provide troubleshooting support to staff.
  • Gather, create, analyze, advise, and document current and future operational process flows while seeking ways to improve current systems and user experiences with best practices.
  • Perform general duties or other special projects, as assigned by the Development Director and Operations Director. 

To be successful in this role, these qualifications are essential:

  • 2-4 years of experience as a Salesforce System Administrator, within a nonprofit organization preferred; OR an equivalent combination of study or lived experience.
  • Adept at creating, editing, and managing Salesforce customizations, configurations, and integrations. 
  • Demonstrated project management skills with an ability to be proactive, prioritize, and take initiative to see projects through to completion.
  • Thrive professionally in an innovative, evolving work environment, and an interest in advancing CRM and operations strategies for justice issues. 
  • Balance multiple responsibilities in a dynamic, sometimes changing climate; demonstrate flexibility in working style and range of work performed.

Salary and Benefits

This is a full-time, exempt position with a salary range of $70,000 – $80,000 reporting to the Development Director and offers opportunity for advancement.
